Privacy Policy

1. Who We Are
North Wall Media Inc. (“North Wall Media,” “we,” “us,” or “our”) is a Canadian digital media company headquartered in Kingsville, Ontario. We publish HR News Canada, HR Law Canada, and Safety News Canada, and we produce the HR Talks event series and the Workplace Awards Canada program.
We take the privacy of our readers, subscribers, members, event attendees, contributors, and business partners seriously. This Privacy Policy explains what personal information we collect, why we collect it, how we use and share it, and the choices and rights you have.
We handle personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA), Canada’s Anti-Spam Legislation (CASL), Quebec’s Act respecting the protection of personal information in the private sector (as amended by Law 25) where it applies, and other applicable privacy laws.
2. Scope of This Policy
This Policy applies to personal information we collect through:
- Our websites, including northwallmedia.com, hrnewscanada.com, hrlawcanada.com, safetynewscanada.com, hrtalks.ca, and workplaceawardscanada.com (together, the “Sites”);
- Our email newsletters and other email communications;
- Our webinars, virtual events, conferences, and awards programs;
- Memberships, subscriptions, and paid products we offer; and
- Our dealings with advertisers, sponsors, contributors, and other business contacts.
It does not apply to third-party websites, platforms, or services that our Sites link to. Those organizations have their own privacy practices, and we encourage you to review them.
3. Information We Collect
Information you give us
- Newsletter subscriptions: your name, email address, and, where requested, your job title, employer, industry, and province.
- Memberships and accounts: your name, email address, login credentials, and membership or subscription details.
- Event and webinar registrations: your name, email address, job title, employer, province, and any other information requested on the registration form, such as professional designations needed to issue continuing professional development (CPD) credits.
- Awards nominations and entries: information about the nominator and nominee, and any supporting material submitted.
- Payments: billing name and address. Payment card details are entered directly with our third-party payment processors. We do not store full payment card numbers.
- Contact and correspondence: information you provide when you email us, fill out a contact form, pitch a story, or act as a source or contributor.
- Business contacts: names, titles, and contact details of representatives of advertisers, sponsors, partners, and vendors.
Information collected automatically
- Device and usage information: IP address, browser type, device type, pages viewed, referring pages, and the date and time of visits.
- Cookies and similar technologies: see Section 7.
- Email engagement: whether our emails were delivered and opened, and which links were clicked, using standard email tracking technologies.
4. How We Use Your Information
We use personal information to:
- Deliver our newsletters, articles, and other content you have asked to receive;
- Create and manage memberships, subscriptions, and accounts;
- Register you for events and webinars, deliver them, issue attendance confirmations and CPD documentation, and follow up afterward;
- Administer awards programs, including judging and announcing results;
- Process payments and issue invoices and receipts;
- Respond to your questions, requests, and correspondence;
- Understand how our Sites and newsletters are used so we can improve our content and services;
- Report aggregated, non-identifying audience statistics to advertisers and sponsors;
- Send you information about our publications, events, and offerings, where we have your consent;
- Protect the security and integrity of our Sites and services; and
- Meet our legal, accounting, and regulatory obligations.
We will not use your personal information for a new purpose without first identifying that purpose and, where required, obtaining your consent.
5. Consent
We collect, use, and disclose personal information with your knowledge and consent, except where the law permits or requires otherwise. Consent may be express (for example, checking a box to subscribe to a newsletter) or implied where appropriate (for example, using the contact details you include in an email to reply to you).
We send commercial electronic messages only in compliance with CASL. Every newsletter and promotional email includes an unsubscribe link, and we act on unsubscribe requests promptly and within the time required by law.
You may withdraw your consent at any time, subject to legal or contractual restrictions and reasonable notice. Withdrawing consent may affect our ability to provide certain services to you, such as delivering a newsletter or issuing event credits.
6. How We Share Your Information
We do not sell your personal information.
We share personal information only in the following circumstances:
- Service providers. We use trusted third parties to help us operate our business, including website hosting, email delivery, event and webinar platforms, registration and payment processing, customer relationship management, analytics, and accounting. These providers may access personal information only to perform services on our behalf and are required to protect it.
- Event and webinar sponsors. Some events and webinars are made possible by sponsors. Where a sponsor will receive registrant information, such as your name, title, employer, and email address, we tell you clearly on the registration page before you register. Sponsors that receive this information are responsible for handling it in accordance with applicable privacy and anti-spam laws, including your right to opt out of their communications.
- Awards programs. Information about nominees and winners may be shared with judges and, for winners and finalists, published as part of the program, as described in the program’s entry terms.
- Legal requirements. We may disclose information where required or permitted by law, for example in response to a court order or to protect our rights, property, or safety, or the rights, property, or safety of others.
- Business transactions. If North Wall Media or any of its publications is involved in a merger, acquisition, financing, or sale of assets, personal information may be disclosed to the parties involved, subject to appropriate confidentiality protections, and transferred as part of that transaction.
We may share aggregated or de-identified information that cannot reasonably be used to identify you, such as audience size and engagement statistics.
7. Cookies, Analytics, and Advertising
Our Sites use cookies and similar technologies to keep the Sites working, remember your preferences, keep you logged in to memberships, measure traffic and engagement, and display and measure advertising.
We use third-party analytics services to understand how visitors use our Sites. These services may set their own cookies and collect information about your device and browsing activity on our Sites.
Our Sites may display advertising served by us or by third-party advertising partners, which may use cookies to measure ad performance or show ads relevant to your interests.
You can control cookies through your browser settings, including blocking or deleting them. Blocking some cookies may affect how our Sites work, including your ability to log in to a membership.
8. Where Your Information Is Stored
North Wall Media is based in Canada, but some of our service providers store or process information outside Canada, including in the United States. When information is held outside Canada, it is subject to the laws of that jurisdiction and may be accessible to courts, law enforcement, and national security authorities there. We take reasonable steps, including contractual protections, to ensure that your information receives a comparable level of protection while in the hands of our service providers.
9. How Long We Keep Your Information
We keep personal information only as long as needed for the purposes described in this Policy, or as required by law. For example:
- Newsletter subscriber information is kept until you unsubscribe, after which we keep only what is needed to honour your unsubscribe request;
- Event registration and CPD records are kept as long as needed to support credit verification and our accounting obligations; and
- Financial records are kept for the period required by tax and accounting laws.
When personal information is no longer needed, we securely delete it or de-identify it.
10. How We Protect Your Information
We use reasonable physical, administrative, and technical safeguards appropriate to the sensitivity of the information, including access controls, secure connections (HTTPS) on our Sites, and careful selection of service providers. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
If a breach of security safeguards involving your personal information creates a real risk of significant harm, we will notify you and report it to the appropriate privacy regulator as required by law.
11. Your Rights
Subject to applicable law, you have the right to:
- Ask whether we hold personal information about you and request access to it;
- Ask us to correct information that is inaccurate or incomplete;
- Withdraw your consent to our use of your information, subject to legal or contractual limits;
- Unsubscribe from our emails at any time using the link in any message; and
- Make a complaint about how we have handled your personal information.
If you live in Quebec, you may also have additional rights, including the right to receive your personal information in a structured, commonly used technological format, the right to request that we stop disseminating your information or de-index a link connected to your name in certain circumstances, and the right to be informed about the use of technologies that can identify, locate, or profile you.
To make a request, contact our Privacy Officer using the information in Section 15. We may need to verify your identity before responding. We will respond within the time required by law, generally within 30 days.
12. Children’s Privacy
Our Sites and services are intended for working professionals and are not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, please contact us and we will delete it.
13. Links to Other Websites
Our articles, newsletters, and Sites often link to court decisions, government resources, sponsors, and other third-party websites. We are not responsible for the privacy practices of those websites.
14. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or in the law. The updated version will be posted on this page with a new effective date. If we make significant changes, we will take reasonable steps to let you know, such as a notice on our Sites or in our newsletters.
